NGOs and grants

Accounting for NGOs and grant-funded organisations in Malawi

NGOs, community organisations and projects funded by donors must show how every grant was spent. InsightBooks tracks grants as a funding source, links expenses and purchases to each grant and recognises grant income as the money is used.

Grants handled the right way

Grant money received is recorded as deferred grant income, not as sales. As you spend on grant activities, InsightBooks recognises grant income to match, capped at the funds received, so your income statement reflects what was actually used.

Link spending to each grant

Tag expenses and purchase orders with a grant and a grant category. Assets bought with grant money can follow depreciation, so donor-funded equipment is treated consistently.

Budgets, payroll and reports for donors

Set budgets by account, compare them with actual spending from posted journals, run payroll with PAYE and pension and produce financial statements. Report in MWK, with US Dollar, Euro and British Pound available for donor reporting.

Frequently asked questions

Can I track several donor grants at once?

Yes. Each grant is tracked separately with its own receipts, linked spending and recognised income.

Is grant money treated as revenue when it arrives?

By default it is held as deferred grant income and recognised as income as linked spending is posted. A recognise-on-receipt option is also available.
